March Board Meeting

March 8 - BHPSA Board Meeting - 7pm



  • Financial
    • Hanover Park to pay back utility bills. This dates from 5/1/25 through termination of service with comed and nicor
    • Raiders Football has sent a check for remainder.
    • With these monies paid back we will buy a nice lawn mower for field maintenance at Koehler to clean up prior to games as lawn cutting schedule varies and is determined by outside vendor.
  • Koehler
    • When are we doing Field Prep -- Dates TBD - need input from Matt
    • We have to order new wind screens asap!
      • League name on screen for K3
    • How are we looking for supplies -- field dry, chalk, spray paint...
    • Are we putting the hitting tunnel up this year?
      • Would like to- we need a new ne
  • Hanover Park Clean out
    • Huge success today!
    • There is some heavy equipment still in the garage area that needs to be moved to Koehler.
      • We will have to acquire a trailer. The league is going to need one to move the tractor from Koehler to Ruzicka. Alon
    • There is still a filing cabinet with sensitive information that has to be destroyed
    • We were able to give a ton of stuff to great people and programs in the area.

      • South Elgin Softball took a bunch of the small catchers gear and some uniform stuff
      • Plenty of people from our area just had a good time digging through the bins of jerseys and hats. Lots of kids thought it was the coolest thing.
      • A woman from “Seedlings of Hope” took a bunch of stuff. They are a Bensenville organization helping Hispanic families of low income get started with youth sports
      • ”Chicago Westside Sports” took almost all of the pants and any “left over” jerseys. We needed them to! This organization is led by other local organizations, churches, community members and the Chicago Police Department to provide opportunities for youth to engage in activities such as; zero cost baseball, AAU Basketball and Team USA Archery. 

      • Shout out to the volunteers that showed up the Lyons family, the Leonards, the Powers’ and the Hansens. Along with a solid showing from the board.
  • Facility Update

    • April 4th will be the last day of practice, with the 5th being Easter.

    • what is our close down schedule and where are we going to store everything?

      • Need to determine ASAP and arrange volunteers

    • we have to have it clean and ready for turn over by April 15
  • Taxes

    • Confirmed the taxes were filed and we are up to date!

    • Now can address the sales tax exemption. 

  • Inter town play

    • Mike met with Streamwood this morning. They are going to play with us at coach pitch, AA and AAA

      • we need to really line item our rules so that we are all on the same page or at least know what to expect when playing with them. 

        • For example they will have 10 kids in the field at coach pitch with a kid or 2 on the bench.

        • they play with a 5 run limit per inning. 

    • waiting on a confirmation from South Elgin but Mike has had positive talks with them and believes they will be on board at the AA and AAA levels

 
  • Mid Season Tournament

    • District is really squeezing us on how many teams will be entering this tournament.

    • Are we playing?

      • How many teams at each division?

  • Registration

    • review numbers as of this morning
      • Trending up, approximately half of total registration numbers from last year. 

      • One week remaining with early registration discount. 


    • Coaches meeting 

      • Use the facility and schedule it for a week night in the first week of April?

        • Needs to be prior to March 22nd draft!
        • Really just need to do this for T-Ball through AA

  • Season Start Business
    • CPR / AED training
      • week of the 23rd of march
      • 47 dollars per person
        • Covered by league for anyone who is interested
      • Encourage all coaches/managers who don’t have CPR certification required by employer to attend - good life skill

    • Equipment inventory

      • all the gear (well most) is at Ruzicka

      • All pants are at Ruzicka

      • we can offer this as another volunteer opportunity and set up some tables and really look at / inventory our stuff

        • consider ordering updated gear. 
          • matching catching gear from a single brand.

      • Maintain a stock of 10 of each size pant, otherwise donate excess

      • Baseballs are at Koehler

    • We need to empty Kohler’s food from last season ASAP!
  • Koehler upgrades 
    • Light upgrades are happening
    • we need to go field by field and line item the upgrades that we want to do

      • fencing, concrete, dugout covers, new bleachers, fence covers

  • White Sox Camp 
    • Need to set a date
